3. Data Processing & Third-Party Sharing

Wayfare Pet Care acts as the Data Controller for all personal data collected. We do not sell or rent your personal information.

We share limited data with trusted third-party service providers strictly necessary to operate our services. Our infrastructure and hosting are managed internally. Service providers we work with include:

• Hostinger LLC: Virtual private servers and infrastructure.
• Google LLC: Authentication (Google OpenID), advertising conversion tracking, and Google Ads tags. Google may receive visitor behavior data through these tools and use it to refine ad targeting. This may constitute "sharing" of personal information under applicable privacy laws. You may opt out via Google's Ad Settings or by enabling Restricted Data Processing through our cookie consent settings.
• Cloudflare: Traffic filtering, bot protection, and security.
• Stripe: Secure payment processing.
• Resend: Transactional email delivery.
• Base44: Website and booking platform infrastructure.

Each provider processes data only as necessary to perform contracted services and acts under strict confidentiality and security obligations.

4. Data Retention

Wayfare Pet Care retains client personal data, including pet information, contact details, and service history, for a period of three (3) years following the date of the last service performed. After this period, personal data is securely deleted or anonymized unless we are required by law to retain it longer.

Physical access credentials (keys, lockbox codes, smart entry credentials) are returned to the Client or permanently deleted within five (5) business days of the termination of the service relationship, as described in our Client Service Agreement.

Visit photos and videos are retained for a period of ninety (90) days following the visit date, after which they are permanently deleted unless the Client has signed a Photo & Media Release authorizing extended use for marketing purposes.

If you request deletion of your data prior to the standard retention period, we will honor that request within thirty (30) days, subject to any legal obligations requiring us to retain certain records.

5. Data Security

We implement industry-standard administrative, technical, and physical safeguards to protect your information, including:

• Encryption: We use TLS 1.3 / SSL encryption for data in transit and AES-256 encryption for data at rest.
• Server Security: We utilize SSH key-based server access with intrusion prevention systems, and our databases have zero public exposure.
• Access Control: Administrative access is restricted to authorized personnel using multi-layer authentication and restricted internal database access with hashed credentials.
• Backups: We maintain encrypted automated backups stored in physically separate locations.
• Physical Credentials: Spare keys, lockbox codes, and access credentials are stored securely and accessible only to authorized Wayfare personnel assigned to your account.

While we take strong precautions, no system can be guaranteed 100% secure. In the event of a data breach that may affect your personal information, we will notify you as required by applicable law.

You have the following rights regarding your data:

• Access & Correction: You may request access to or correction of your personal data at any time by contacting us via email.
• Deletion: You may request deletion of your personal data. We will respond within thirty (30) days. Deletion requests are subject to any legal obligations requiring retention of certain records.
• Marketing Opt-Out: You can unsubscribe from promotional emails at any time by clicking the "unsubscribe" link in our emails or by contacting us directly.
• Advertising Cookies: You may opt out of advertising cookies and remarketing through Google's Ad Settings or through our cookie banner.

• State-Specific Rights: Privacy rights may vary depending on your state of residence. We will honor all applicable state privacy laws. Pennsylvania residents are encouraged to contact us directly with any privacy-related concerns.

Our services are not directed to children under the age of 13, and we do not knowingly collect personal information from children. If we become aware that a child under 13 has provided us with personal information, we will delete it promptly.
